General Function
Cook up and interact with base facilities, personnel offices, security, IT support, and building managers to ensure smooth daily operations across the ACS Directorate.
Support Government-hosted Meetings and Events
- Schedule conference rooms
- Prepare agendas
- Arrange room setup
- Cook up DV parking and travel requirements
In-event Support
- Conduct post-event follow-up actions
- Ensure all Government-directed tasks and documentation requirements are completed
Schedule and Calendar Management
- Develop, maintain, and update Directorate, Division, and Program schedules and calendars
- Ensure consistency and accuracy across multiple platforms
Graphics and Briefing Materials
- Create visual aids, briefing charts, graphics, and other presentation materials
- Aid during briefings as needed
File Management
- Maintain Operating Instructions (OIs)
- Develop self-inspection checklists
- Ensure alignment with administrative processes and supporting deficiency tracking and correction
Inspections and Program Support
- Establish and maintain master files and file plans for program data
- Achieve accurate tracking and issue resolution across Divisions
- Support Unit Compliance, Operational Readiness, and emergency management program inspections and execution
Administrative Support
- Assist with Unit Compliance, Operational Readiness, and emergency management program inspections and execution
- Support suspense tracking by updating suspense status weekly
- Achieve proper assignment, completion, and reporting using ACS and SOCCER tracking tools
Staff Meetings and Meeting Preparation
- Support staff meetings
- Produce databases, spreadsheets, graphics, and automated forms
Forms and Documentation Support
- Provide administrative support to the Management Operations Division
- Assist with FOIA and Privacy Act request assistance
- Support personnel in/out-processing
Mail Operations
- Manage Directorate mail operations
- Log, receive, sign, distribute, and properly handle classified and unclassified mail
- Ensure compliance with signature and delivery requirements
Unit Staffing and Rosters
- Track unit staffing
- Maintain organizational charts
- Update Pyramid Alert/Recall and Shelter-In-Place rosters
Supply Operations
- Support Directorate supply operations
- Order, receive, store, and distribute office supplies and equipment
Facsimile and VTC Equipment Support
- Operate and support facsimile and VTC equipment
- Schedule VTC bridges
- Achieve proper connectivity for Directorate communications
Qualifications
- BA/BS or Master of Arts/ Master of Science (MA/MS) degree and over 10 years of relevant experience
- Possess and maintain a government security clearance at the Secret level
- Be proficient in the use of Microsoft programs (including Excel, Word, Outlook, Word, Excel, PowerPoint, Access, Visio, and Project)
- Be able to perform all functional duties independently
- Be able to transport self to various facility sites, as required
