About the role
The Department of Women's, Gender, and Sexuality Studies at San Diego State University is seeking a highly organized and detail-oriented Administrative Support Coordinator to join their team. This position offers an exciting opportunity to support academic operations, faculty and personnel processes, budgeting, and day-to-day department coordination that contribute directly to department success and operations.
Responsibilities
Academic and Faculty Support: Prepare faculty and instructional staff appointment documentation, maintain workload and instructional records, assist with course scheduling and room coordination, and support faculty evaluation processes through deadline tracking and confidential record maintenance.
Business and Financial Support: Support department financial processes of purchasing, reimbursement, travel, honoraria, and related transactions, while monitoring budgets, reconciling accounts, maintaining financial records, and helping faculty and staff comply with purchasing and travel procedures.
Personnel Administration: Prepare faculty and staff appointment paperwork, maintain confidential employment files, coordinate onboarding, process payroll and student time reporting, and assist with RTP documentation and review files.
Administrative Operations and Office Coordination: Coordinate daily department operations by supporting the Department Chair, serving as the primary office contact, maintaining files, supplies, equipment, and records, and coordinating meetings and events.
Qualifications
Experience supporting diverse populations and cross-collaborating with a variety of stakeholders and leadership levels. Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures. Experience working with and supporting LGBTQIA+ students, staff, faculty, or community members is preferred.

Department Summary
SDSU’s Department of Women's, Gender, and Sexuality Studies is a rigorous interdisciplinary, cross-cultural, and transnational discipline rooted in feminist theory and shaped by the social sciences, humanities and natural sciences, as well as movements for social justice. The program cultivates skills in writing, research and presentation, and provides opportunities to engage in feminist activism locally, nationally, and internationally through travel/study, community-based service learning, and internships in various organizations. The Department is also the institutional home for the LGBTQ+ Studies program and the Science, Technology, and Society Studies minor.
Education and Experience
Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite. These qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
