Administrative Support Coordinator (Administrative Support Coordinator II)
About the role
The School of Exercise and Nutritional Sciences at San Diego State University is seeking a motivated and detail-oriented Administrative Support Coordinator to join our team. This position offers an exciting opportunity to coordinate administrative tasks for day-to-day operations and complex, special projects for the School of Exercise and Nutritional Science.
Responsibilities
- Provide front-office customer service, handle internal and external communications, triage inquiries, student assistant recruitment/training/scheduling
- Gradescope support for TAs/ISAs/GAs, class scheduling support for 200+ lecturer, lab, and activity sections across terms, my.SDSU section maintenance
- Processing ENS 499/798 registration, syllabi collection, key and parking-pass records, purchasing and travel assistance, supply/equipment/catering coordination, and planning/execution of School events ranging from small meetings to events of up to 250 attendees.
- Career Development: Support student application/admissions inquiries, campus visits, application tracking, student records, accreditation reporting, and special projects.
- Master of Science in Athletic Training (MSAT): Coordinate admissions processing including ATCAS application review and correction; data entry in ATRACK information system for students, preceptors, and clinical-sites, accreditation report support, and data management.
- ENS Student Club: Coordinate and attend monthly meetings; prepare agendas, materials, and meeting minutes; track action-items, and partner with School Director to support Council initiatives student engagement activities.
Requirements
Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite. These qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
Qualifications
- Strong proficiency in using Microsoft Office or similar office software packages, technology, and systems.
- Experience supporting diverse populations and providing inclusive, customer-focused service.
- Ability to learn and use enterprise systems for scheduling, document management, and workflow processes.
- Experience supporting academic faculty and maintaining related records and documentation.
- Experience assisting with scheduling, coordination, and planning activities and projects.
- Ability to lift objects up to 20-40 pounds; position involves standing, squatting, kneeling, and walking for significant times of the day.
