About the Role

The Administrative Specialist serves as the primary point of contact for the Office of the President for business and operational processes. This role works as part of a team to provide administrative support and regularly interacts with the President, senior staff, and other members of the campus community.

Responsibilities

  • Process a range of business services in accordance with NYS and University guidelines, including:
    • Ordering supplies and equipment
    • Creating requisitions and withdrawal requests for special events, business travel, conference registrations, purchase of goods and services, fee payments for legal services, and P-card expenditures
    • Reconciling expenses in CUNYfirst and CUNY Buy
    • Arranging electronic transfer of funds between accounts to ensure availability for reconciled expenses
  • Complete various reports, such as:
    • Monthly and annual mileage reports
    • Tax Levy and Non-Tax Levy Expenditure reports
    • Excel charts with real-time expense and budget balance information
  • Serve as a liaison to the College business office, Campus Auxiliary, and other departments regarding office budget, OTPS, and non-tax levy expenditures.
  • Provide guidance to office staff on tax-levy and non-tax levy policies and procedures to ensure compliance and accuracy.
  • Function as the office timekeeper, ensuring timesheets for office staff and senior staff are submitted on time, reviewed for completeness and accuracy, and approved by the President or designee before submission to Human Resources.
  • Initiate and submit access request forms and change actions for new and existing employees to ensure appropriate access to CUNYfirst, electronic workflows, P-Card, and T-Card; remove access for inactive employees.
  • Serve as the Recordkeeping Retention liaison, providing guidance to staff on University Recordkeeping Retention Guidelines.
  • Attend information and training workshops related to core responsibilities.
  • Work collaboratively as part of a team to contribute to the efficient operation of the Office of the President.
  • Perform other related duties as assigned.

Requirements

  • Bachelor’s Degree required.
  • Four years of relevant experience required.

Pay

Salary range: $90,838 - $94,909.
