Administrative Specialist II - Child, Adolescent & Family (CAF) Clinic (Lexington)

Job Responsibilities

Provide administrative support with a moderate level of individual and/or customer accountability, which includes receiving and screening telephone calls; greeting all customers in a professional manner, ensuring all customers receive proper instructions to have their needs met and taking care of the immediate needs of the customers.

Notify staff of patient arrival via EMR or telephone; schedules appointments for patients/staff, making changes as needed.

Maintain policies and procedures while processing routine matters within established guidelines.

Manage of all assigned medical records in compliance with local, state and federal guidelines; updating patient information such as, financial information, addresses and telephone numbers as changes are reported; ensure accurate scanning and importing of patient information to include insurance and patient income documents.

Support patients with administrative intake process and support intake providers. Assist in satellite offices and /or clinics as needed.

Responsible for collecting patient fees and verifying daily fee collections, ensure all BHDD cash policies are adhered to while conducting this job function.

Adhere to all corporate compliance policies, regulations, statutes (federal, state, local, BHDD), or laws regulating the provisions of healthcare.

Complete all annual required trainings to include Safety, MAPS, Cultural Affairs, and clinical trainings. Demonstrate adherence to CARF standard.

Minimum And Additional Requirements

  • A high school diploma and two (2) years of clerical experience; or an associate degree in secretarial science or other related field; or three (3) years of clerical experience.
  • Bilingual abilities in English and Spanish (or another language) are a plus.
