About the role
The Administrative Specialist I supports the Department of Student Services and Equity (DSSE) staff to deliver optimal services and support.
Responsibilities
- Maintains professionalism with minimal oversight to respond to a variety of stakeholders seeking information, guidance and/or resources from the DSSE, while proactively following through with DSSE staff to ensure resolution.
- Collaborates with DSSE staff to coordinate a number of meetings, including appeal meetings, to support operational activities.
- Maintains and updates a wide variety of files and records, including confidential databases, to ensure compliance with administrative and legal requirements.
- Monitors departmental activities and program components to ensure goals are achieved, deadlines are met, and financial, legal, and administrative requirements are satisfied.
- Prepares a wide range of written materials, such as reports, memos, letters, financial information, and minutes, to document activities and provide reference.
- Processes legal documents and materials, such as FERPA requests, FOIA requests, subpoenas, and homeschool documents, to ensure compliance with program, district, state, and federal requirements.
- Researches various topics to address administrative requirements and provides information to stakeholders.
- Provides customer service to internal and external parties, facilitating communication and providing direction.
- Attends professional learning, meetings, and workshops to stay updated on policies and procedures.
- Interacts with relevant personnel to manage all facets of DSSE operations.
- Completes administrative and routine office operations, including receiving and distributing office materials and supplies.
Qualifications
- Minimum high school diploma or equivalent.
- Associate’s degree or Bachelor’s degree preferred.
- Minimum of two (2) years of administrative work in specialized support is Required.
- Experience With Increasing Levels Of Responsibility Required.
- Key Competencies: Microsoft Word, expertise in Excel, PowerPoint development, and maintaining confidential databases and confidentiality.
