Job Summary
The Administrative Specialist will be responsible for various administrative tasks within the Home Care Agency of Gurwin Healthcare System. The position is based on a 36-acre campus in Commack, NY, which includes multiple healthcare facilities.
Education and Experience Requirements
- College degree preferred
- Minimum of 2 years of home care or related office experience
- Excellent interpersonal and organizational skills required
Job Responsibilities
- Work on SmartLinx daily in preparation of bi-weekly payroll
- Prepare manual mileage reports for FTE and FFS staff either manually or electronically
- Monthly (1st of month) insurance advantage plan verifications for our existing patients on services
- Generate weekly and monthly GAL patients with home care service report
- Face to face document follow-up with MD offices
- Initial document entry into Crescendo for new homecare patients
- Prepare and submit monthly Continuum Admin/Discharge report
- Insurance verification back-up
- Prepare and submit OASIS to CMS portal three times a week
- Manage and run OASIS export validation report and follow up with clinical team
- Submit to portal & forward report for correction to the clinical manager
- Manage/track and send 485, PVCs, discharge, and transfer physician orders daily for Crescendo
- Prepare, validate, and submit check requests for rehab vendors and contracts
- Reconcile outstanding invoices from vendors
- Places DME orders in the McKesson system as needed
- Demonstrates an attitude of cooperation and professionalism when dealing with peers and supervisors
- Afford assistance with other office duties as needed
- Afford assistance in covering other staff members during absences for vacation, sickness, etc. and performs related tasks
- Special projects: Periodically checks for Additional Document Request (ADR) and ensures to meet the submission deadline. Prepare ADR documentation for clinical review & approval prior to submission.
