Administrative Specialist
Reports to: Executive Director
About the role
The Administrative Specialist provides part-time administrative and organizational support for the Greater Watertown-North Country Chamber of Commerce (GWNC Chamber). This role exists to keep internal records, communications, and basic office operations organized and running smoothly. The purpose of this role is to maintain organized internal systems and records, support basic membership administrative needs, reduce administrative workload on the Executive Director, ensure timely handling of routine communications and documentation, and improve consistency and organization across internal files and member records. This role is strictly execution-focused and does not include strategic decision-making, program ownership, or independent management of member relationships.
Responsibilities
All duties support the organizational success of the GWNC Chamber. Additional duties may be assigned, and existing responsibilities may be changed as deemed appropriate by the Executive Director.
- Organizational Support
- Coordinate reception and administrative functions by greeting visitors, answering and directing inquiries, supporting scheduling and meeting logistics, and maintaining office systems and supplies to ensure an organized and professional environment
- Maintain accurate data entry in systems and software, including the membership management software, ensuring consistency, completeness, and accessibility of all organizational records
- Manage correspondence, mailing, and file systems to ensure efficient document retrieval
- Membership Support
- Provide answers to standard, frequently asked questions using approved language and resources
- Maintain accurate membership contact and status records in the membership management software
- Assist with tracking membership renewal status and updating records
- Make renewal calls or send messages to retain members
- Financial Support
- Collaborate with the accounting team for accurate financial tracking
Requirements
- Associate’s Degree preferred
- Minimum of 2 years of experience in organizational and administrative support
- Strong written and verbal communications skills with a professional demeanor
- Proficiency with Gmail, Microsoft Office Suite (Outlook & Teams), and social media platforms (LinkedIn, Facebook & Instagram)
- Familiarity with Jefferson County and a local professional network preferred
Pay
$20–22 per hour
Schedule
- Part-Time: Approximately 5–20 hours per week
- Flexible between 9 am–4 pm
