About the role

The Department of Supportive Oncology (SO) at Dana-Farber Cancer Institute is composed of five divisions offering unique services and conducting research aimed at improving the quality of life for patients and their families during and after cancer treatment. The Division of Adult Palliative Care houses an interprofessional team including physicians, NPs/PAs, nurses, and social workers who provide advanced palliative care to seriously ill patients in both inpatient and outpatient settings. The Administrative Specialist II supports the division by scheduling appointments, liaising between patients, clinical staff, and other departments, and providing administrative support.

Responsibilities

  • Provide administrative support for Directors, department managers, clinicians, and/or faculty.
  • Perform administrative duties such as answering phones, maintaining office supplies, managing calendars, and submitting work orders.
  • Manage meeting planning and schedules for individuals and teams within the assigned department.
  • Liaise between patients and clinical staff to provide scheduling support.
  • Draft communications for department members or those being supported for review.
  • May be responsible for data entry and preparing general correspondence, letters, spreadsheets, and presentations.
  • Handle financial responsibilities including P-Card charge review and reconciliation, expense report processing, vendor payments, and general office supply ordering.
  • Cook up travel arrangements as required.
  • Identify and escalate workflow needs to supervisors.
  • Participate in training and onboarding new staff.
  • Maintain professionalism, confidentiality, and attention to detail.
  • Other duties as assigned.

Qualifications

  • Minimum Education: High school diploma required. Bachelor’s degree preferred.
  • Minimum Experience: 3 years of relevant experience.
  • Knowledge, Skills, and Abilities: Strong written and oral communication skills, proficient in computer applications, exceptional customer service, problem-solving ability, organizational skills, and attention to detail.

$56,310.00 - $69,930.00 per year
