Administrative Services Manager

About the Role
The Administrative Services Manager leads a centralized team of administrative professionals, ensuring effective assignment of resources, balanced workloads, and consistent, high-quality support across the organization. This role focuses on developing administrative staff, standardizing processes, coordinating coverage, and continuously improving administrative services.
Responsibilities
- Team Leadership
- Assign administrative staff based on departmental needs, workload, and organizational priorities.
- Build a flexible team capable of supporting multiple departments and projects.
- Administrative Services
- Oversee administrative support provided to departments, leaders, and special projects.
- Coordinate meeting schedules, documentation, correspondence, action items, and project records.
- Support vendor communication, document collection, invoice coordination, and general departmental administration.
- Act as a functional escalation point and provide targeted coverage during peak business cycles.
- Process Standardization
- Develop and maintain administrative procedures, templates, and service standards.
- Improve administrative workflows and eliminate unnecessary duplication.
- Ensure administrative processes are documented and transferable between team members.
- Resource and Workload Management
- Monitor workloads across the administrative services team.
- Reassign resources as business needs and priorities change.
- Identify opportunities to improve team capacity, efficiency, and service levels.
- Partner with department leaders to clarify support needs and expectations.
- Continuous Improvement
- Establish key service metrics (SLAs) to track administrative quality, responsiveness, and task completion.
- Support company-wide initiatives requiring administrative or project coordination.
- Help create a professional, organized, and service-focused administrative culture.
Requirements
- Prior administrative, project coordination, or business operations experience.
- Experience directly managing, coaching, and developing administrative or operational teams.
- Ability to remain calm under pressure, set priorities, and hold teams accountable while working across all organizational levels.
- Highly organized, dependable, and responsive, with a focus on operational results and employee growth.
- Exceptional communication and problem-solving abilities, with strong proficiency in Microsoft Office and business systems.
- Proven ability to manage competing cross-departmental priorities, build standard workflows, and drive efficiency (manufacturing or operations experience preferred).
- Bachelor’s degree preferred or equivalent professional experience.

Pay
Full-time position with a total compensation range of $95,000 - $125,000 (includes bonus potential).
