About the role

The Administrative Services Manager supports the Office of the Provost and Senior Vice President for Academic Affairs. This role involves providing administrative, project, and executive support, as well as specialist services in areas like public and community relations, faculty affairs, general business administration, and student affairs.

Responsibilities

  • Assists Provost and Senior Vice President in recruiting, hiring, orientation, and training of personnel within the Division of Academic Affairs.
  • Serves as the primary point of administrative contact and liaison with other offices, individuals, and institutions; coordinates and attends committee meetings.
  • Provides leadership for the Academic Affairs administrative team.
  • Performs research and analysis on specific issues, as required, and independently prepares non-routine letters and/or reports, which may be highly sensitive and confidential in nature.
  • Manages supervisor’s calendar and independently schedules appointments.
  • Answers and screens Provost and Senior Vice President’s telephone calls and correspondence and responds independently when possible.
  • Acts as custodian of corporate documents and records.
  • Arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordination speakers, and controlling event budget.
  • Assists the Provost and Senior Vice President on specific projects related to the long-term goals of the university, such as strategic planning, fiscal responsibility, etc.
  • Assists the Provost and Senior Vice President with the maintenance of all contracts/agreements with outside vendors.
  • Works with Provost and Senior Vice President and the university’s legal counsel to prepare agreements prior to renewal or startup.
  • Develops and implements new administrative systems.
  • Arranges and coordinates travel schedules and reservations.
  • Covers and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings as needed.
  • Presents a positive supportive image of the Office of the Provost and the Division of Academic Affairs, California Baptist University and Christian Higher Education.

  • Ability to maintain confidentiality required.
  • Knowledge of standard budgeting and expenditure control procedures and documentation.
  • Strong interpersonal and communication skills and the ability to work effectively with a diverse faculty, staff and student body.
  • Highly organized who is able to remain calm in a fast-paced, environment.
  • Attention to detail and ability to follow-through with projects a must.

Qualifications

  • Bachelor’s degree from four-year university; or two to three years of related experience and/or training; or equivalent combination of education and experience.
