Administrative Secretary position in the Treasurer/Collector’s Office. Applicants must possess excellent communication skills, the ability to act independently, and a general knowledge of office administration. Proficiency with word processing, spreadsheets, and database applications is required. Vadar/Munis experience is desirable.
About the role
Under the general supervision of the Treasurer/Collector, the Administrative Secretary provides administrative, customer service, and financial support services to ensure efficient operation of the department.
Responsibilities
- Assists with the collection of real estate, excise, and personal property taxes, as well as water payments, in person and by mail by receiving, preparing, and electronically processing payments
- Responds to inquiries and provides assistance to the public, mortgages and title companies, and lawyers by researching and preparing documents, making necessary referrals, and typing Municipal Lien Certificates
- Balances daily cash receipts and performs accounts payable functions
- Maintains accurate records to be transmitted to accounting weekly, monthly, and quarterly
- Researches and prepares customer refunds
- Orders office and equipment maintenance supplies and arranges for equipment maintenance
- Performs administrative support functions, including copying and faxing
- Performs other related duties as required by the Tax Collector
- Provides information and assistance to the public; responds to inquiries, requests, and concerns on the telephone and in person and refers individuals to other resources as deemed appropriate
Requirements
- High school diploma or equivalent
- Minimum 3 years related municipal and/or banking experience
- Equivalent combination of education and experience will be considered
- Proficient with word processing, spreadsheets, and database applications
- Excellent communication skills, including the ability to relate in a polite and professional manner with the public, other employees, and officials of other governmental units
