About the role

The Admin Operations Coordinator will coordinate administrative and building operations support services within an assigned unit. Areas of involvement typically include financial records and reports, budget administration, administrative policies and procedures maintenance, and building support services.

This position will interact on a consistent basis with: unit management and staff, vendors/contractors, and visitors. This position typically will advise and counsel: unit management and staff.

Responsibilities

  • Provide support in unit and or project budget administration; maintain budget related records and generate reports.
  • Process purchasing related records and transactions; maintain inventory records.
  • Cook up building operations maintenance which typically includes building access control.
  • Cook up delivery, installation and inter-office movement of furniture and equipment.
  • Cook up new employee intake process including initiation of related documentation and data input.
  • Maintain unit administrative related policies and procedures.
  • This position may hire, train, and supervise student employees.
  • Perform other job-related duties as assigned

Requirements

  • Education: High school diploma, GED Certificate or Vocational School Diploma
  • Experience: Six years of job related experience
  • Preferred: Candidates should bring 2-4 years of experience with Concur, Workday, and OneUSG.
  • Travel: Monthly travel to Huntsville is required to maintain alignment and keep operations running smoothly
  • Skills: Extensive administrative experience working in a high-volume and deadline-driven office setting. Proficient with Microsoft Office Suite and ability to learn and adapt to new software packages competently. Wpm: 40- 60. Experience with booking travel arrangements and calendar management. Experience with organizing and scheduling meetings and events. Experience with taking meeting minutes and creating presentations. Excellent time management skills to ensure efficient functioning of schedules and division operation. Ability to establish and maintain effective working relationships to maintain a high level of internal and external customer satisfaction. Excellent written and verbal communication skills to write and proofread reports as needed and to maintain professional communication with customers.

Salary Job Grade A7
Salary range is dependent on candidates experiences and skills that ranges from $49,308 - $67,059.
