Essential Duties & Responsibilities
- Oversees and coordinates the company fleet vehicle program in conjunction with the Business Office and Travelers.
- Captures and coordinates hotel accommodations for Travelers/Independent Contractors supporting the organization.
- Assists the administrative team in maintaining the office environment and ensuring its appeal to staff and visitors.
- Supports the Office Manager and Business Office with corporate needs, renewals, and areas of risk management.
- Supports the Office Manager, Operations, and the Director, Human Resources with any needs.
- Maintains and manages a contract database for all non-qualified vendors and contracted partners.
- Schedules and coordinates meetings and prepares and restores conference rooms, facilities, and equipment for scheduled activities/meetings.
- Prepares and distributes correspondence in various formats to appropriate individuals/groups.
- Performs general administrative duties such as data entry, copying, scanning, answering phones, mailing, filing, audit assistance, drafting newsletters or bulletins, and special project needs.
- Provides periodic back-up to the Front Desk Concierge (admin team member) when needed.
Qualifications
- AS degree in Business Administration required;
- 5 years in an administrative assistant position with general office policy and procedure experience required;
- Computer literate with high level proficiency using spreadsheet, database programs, and word processing;
- Ability to follow verbal and written instructions and work on projects with little to no supervision;
- Or an equivalent combination of education and experience.
