Administrative Manager, U.S. Capital Markets

This role is based in New York, NY (300 Madison Ave, 8th Floor) and is a full-time, regular position with a 40-hour work week. The work arrangement (proportion of on-site and remote work) will be discussed during the interview process.
Responsibilities
- Provide people leadership to the US Corporate and Investment Banking administrative staff, serving as a singular point of contact for senior members of the team.
- Lead, coach, and develop Executive Assistants supporting senior leaders, establishing clear expectations, priorities, and service standards for consistent, high-quality support.
- Provide guidance, direction, and day-to-day support to team members managing complex executive priorities.
- Support hiring, onboarding, training, and ongoing development of Executive Assistants.
- Foster a collaborative, accountable, and high-performing team environment.
- Manage team capacity, workload distribution, and coverage planning to ensure seamless support across the business.
- Oversee executive support activities, including:
- Calendar management and meeting coordination
- Conference calls and travel arrangements
- Expense tracking and correspondence
- Ensure Executive Assistants apply sound judgment, discretion, and diplomacy in managing administrative and operational matters for senior leaders.
- Partner with senior executives to align Executive Assistant resources with support needs.
- Promote professionalism and responsiveness in all interactions with executives, clients, visitors, and internal partners.
- Organize and prioritize daily activities for Managing Directors, including:
- Scheduling meetings, conference calls, and appointments
- Managing heavy travel schedules (air, hotel, ground transportation)
- Making day-to-day administrative and operational decisions on their behalf
- Participate in department event planning, including:
- Catering for large events (vendor selection, food recommendations, orders, delivery)
- Confirmation of attendee lists
- Budget management
- Manage equipment and office supplies, including:
- Service Now requests for all employees
- Equipment repairs and stationery orders
- Business cards and facilities issues
- Maintain tracking of all expenses and invoices.
- Compose routine correspondence and prepare/route incoming and outgoing correspondence, including email.
- Liaise with assistants from multiple teams across the firm.
- Assist with ad hoc projects as needed.
- Provide daily technology support and maintenance for:
- Printers, scanners, photocopiers, telephones, mobile devices, and computers
- Investigate ad hoc system/software problems, prepare, submit, track, and escalate Service Now requests.
- Liaise and troubleshoot with technology support groups for urgent matters, ensuring correct solutions are identified and implemented.
- Disseminate technology information to department personnel as required.
- Track and manage inventory of all department hardware and software.
- Work with external vendors, suppliers, and technical support to ensure efficient department operations.
- Act as a resource for department users and coordinate training on new equipment.
- Maintain current knowledge of hardware, software applications, and CIBC policies.
- Build and maintain strong relationships with managers, Executive Assistants, and business partners across multiple teams within the bank.
- Coordinate effectively with outside vendors, including travel providers, caterers, office suppliers, and facilities partners.
- Serve as a trusted partner in supporting the effectiveness of the executive support function.
- Comply with all applicable CIBC and Line of Business policies, standards, guidelines, and controls.
Requirements
- A minimum of 15+ years of administrative experience in a corporate environment.
- Good interpersonal and customer relationship management skills to effectively engage with people at all levels.
- Ability to handle multiple tasks within a fast-paced financial services environment.
- Proficient in Microsoft Word, Excel, and PowerPoint.
- Excellent organizational skills and strong attention to detail.
- Strong communication skills, both written and oral, requiring tact, diplomacy, and discretion, as well as the ability to maintain confidentiality.
- Highly motivated self-starter, able to work independently with minimal direction and identify solutions to problems.
- Strong technical skills to support maintenance of office equipment.
- Ability to exercise good judgment to resolve a wide variety of issues and problems.
- Ability to manage multiple priorities and work in a team environment.

Pay
This role has an expected salary range of $130,000 - $145,000 for the New York, NY market, based on experience, qualifications, and location. The successful candidate may be eligible to participate in the relevant business unit’s incentive compensation plan, which may include a discretionary bonus component.
