We are seeking an Administrative Coordinator to provide dedicated administrative and strategic support to the Chief Legal Officer (CLO) and Vice President, Sporting (VPS). The ideal candidate will demonstrate exceptional judgment and discretion, strong communication and organizational skills, and the ability to prioritize in a fast-paced environment. This individual should proactively anticipate the needs of both executives, ensuring smooth daily operations and effective communication across departments.

Responsibilities

  • Deliver strategic administrative support to the CLO and VPS, including managing schedules, coordinating travel, handling correspondence, and organizing meetings.
  • Act as a liaison between the CLO and VPS, and other internal departments and external stakeholders, ensuring seamless communication and timely updates on key initiatives.
  • Prepare materials for executive commitments, including presentations, press / speaking engagement briefings, project plans, and meeting summaries.
  • Facilitate cross-functional projects by working closely with the CLO and VPS, and other executives.
  • Schedule and attend meetings, take detailed notes and document action items for follow-up.
  • Monitor and prioritize incoming communications, ensuring timely responses and efficient workflow.
  • Maintain confidentiality and exercise discretion in handling sensitive information.
  • Assist in documenting processes and workflows to enhance operational efficiency.
  • Assist in managing document retention policy.

Core Qualifications

  • Experience: 3+ years of progressive experience supporting senior executives or leadership teams.
  • Executive Support: Proven ability to coordinate complex projects and manage rigorous executive follow-up to ensure deliverables are met.
  • Communication: Exceptional written and verbal communication skills, with the ability to draft clear, concise professional correspondence.
  • Technical Proficiency: Proficiency in Google Workspace (Gmail, Drive, Slides, Docs), Microsoft Office (Excel, PowerPoint), and Slack.
  • Operational Skills: Excellent organizational, time-management, and problem-solving abilities, with a proven track record of prioritizing tasks in a dynamic environment.
  • Adaptability: Flexibility to work non-traditional hours, including evenings and weekends, to support executive needs as they arise.

Preferred Qualifications

  • Strategic Foresight: Demonstrated ability to "look around corners"—anticipating potential obstacles and proactively recommending ways to optimize an executive’s time.
  • Process Improvement: Experience not only managing recurring cadences but also identifying and implementing opportunities for process improvement.
  • Crisis & Priority Management: Advanced ability to navigate urgent, competing priorities while maintaining a focus on long-term strategic goals.
  • Autonomous Execution: Highly self-started and capable of working independently.
