Responsibilities
- Accurately and timely enter and initialize all new professional and general liability potentially compensable claims and claims/suits into the claims database
- Categorize and upload critical claim documents
- Perform regular audits of the database to ensure all fields – from claimant details to loss types – are consistent and up to date
- Maintain accurate insurance policy information in the claims database
- Generate and distribute regular claims reports (including monthly loss runs)
- Process and fulfill requests for insurance verification and claims history letters
- Collaborate cross-functionally with Credentialing Department to provide claims data to support the medical staff reappointment process
- Facilitate the investigation of potential or alleged claims, ensuring comprehensive data collection and timely reporting to commercial insurance carriers
- Regularly update all claims files in claims database and categorize and save pleadings, status reports, and other documents to electronic filing system
- Track and calendar all deadlines stemming from scheduling orders
- Coordinate with internal legal counsel, external counsel, external adjusters, insurance partners, and other stakeholders
- Manage complex calendars, schedule meetings, and coordinate conflicts
- Update database and other spreadsheets with defense costs, settlement payments, and expenses
- Prepare expense summaries as needed for leadership
- Verify that legal and vendor invoices align with current activity
- Process invoices, payroll, reimbursements, and other financial transactions
- Screens and triages telephone calls
- Prepare correspondence, memoranda, reports, presentations, meeting agendas, and minutes, often involving confidential or sensitive information
- Create and maintain organized electronic files
- Maintain office supplies and prepare inventory and purchase orders
Qualifications and Requirements
- 5-7 years in a litigation, risk management, or insurance environment. Experience with database management, running reports, strong Excel experience and administrative experience. Previous experience in a healthcare setting is highly preferred. Must be a self starter with critical thinking skills to problem solve in a fluid environment.
- High School Diploma or GED required; Associate's degree preferred
