Administrative Coordinator - Cardiology/ Behavioral Health
NYU Langone Hospital—Suffolk is a 306-bed medical center providing care to residents of eastern Long Island. The facility includes the Knapp Cardiac Care Center, a modern ambulatory surgical pavilion with specialized services such as women's imaging, a sleep laboratory, and bariatric surgery. It operates a Provisional Level 2 Trauma Center, a Primary Stroke Center designated by the New York State Department of Health, and multiple outpatient sites including a wound care center, hemodialysis center, and various primary care and specialty offices.
Position Summary
The Administrative Coordinator supports the department director and/or manager by managing diverse and confidential projects and performing administrative duties requiring broad institutional knowledge. This role involves handling information requests, preparing correspondence, organizing files, conducting research, maintaining calendars, and coordinating travel arrangements.
Responsibilities
- Supports the director with administrative details on assigned projects and day-to-day operations.
- Completes project and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation, monitoring progress, problem-solving, and adjusting plans.
- Resolves routine and complex inquiries; responds independently or drafts responses for the director’s review.
- Gathers information and follows up with staff on behalf of the director.
- Screens incoming mail, email, telephone communications, and in-person inquiries from vendors and colleagues.
- Identifies, follows up, and tracks high-priority requests, including contracts, reports, memos, and other documents.
- Coordinates production and distribution of project materials; prepares meeting notices, agendas, and resolves scheduling conflicts.
- Records and tracks meeting minutes and follow-up items; ensures timely resolution of critical issues.
- Ensures compliance with record retention procedures; develops and maintains document filing systems (hard copy and electronic).
- Maintains confidentiality and recommends solutions or actions as required.
- May oversee budgets, monitor supply inventory, order office supplies, prepare expense reimbursements, and maintain office equipment.
- Performs other duties as assigned.
Requirements
- Bachelor’s Degree.
- 1–3 years of experience in an administrative support role or related field.
- Excellent communication (oral and written), interpersonal, organizational, and project coordination skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Ability to work effectively with all levels of internal management, staff, clients, and vendors.
Preferred Qualifications
- 3–5 years of experience supporting a manager or director.
- Notary Public certification.
Pay
The salary range for this role is $63,441.82 – $71,770.40 annually. Actual salaries depend on factors such as experience, specialty, education, and hospital need. This range does not include bonuses, incentive pay, or other forms of compensation or benefits.
