Administrative Coordinator (aHEO) - Dance Department, School of Arts & Sciences

Duties

Reporting to the Chair, the Administrative Coordinator will assist the Chair of the Dance Department in administration of department functions, procedures, records, payroll, budgets, expenditures, requests and orders of support and supplies.

  • Develop and maintain efficient office procedures and methods.
  • Manage a variety of departmental budgets in coordination with the Chair.
  • Produce and distribute key, complex management documents and reports with a high degree of accuracy, especially with regards to:
    • Personnel (hiring, payroll, faculty appointments/re-appointments)
    • Academic scheduling
    • Budget projections and allocations
    • Award payments, and Independent Contractor agreements.
    • Administer special projects, events, and efforts to improve unit effectiveness.
    • Supervise and coordinate the duties of clerical and part-time personnel such as office assistants and student workers.

Qualifications

  • Including a bachelor’s degree, the ideal candidate will have a strong administrative background including records management, preservation and protection (familiarity with FERPA guidelines);
  • Experience with budget management;
  • Strong writing/editing skills;
  • Strong interpersonal and communication skills;
  • Experience with instructional technology and new technological resources relative to the department.

  • Proficient with Adobe Acrobat (create PDF forms and templates), MS Word, MS Excel (charts & graphs), MS Outlook, Dropbox, Google Apps (Calendar, Sheet, Docs, Forms etc.) and Canva.
