Administrative Clerk-HSE (Phoenix, AZ) - Austin Industrial
Key Responsibilities
- Perform general clerical duties including data entry, filing, document control, and correspondence.
- Prepare reports, spreadsheets, and presentations as needed for operations and management teams.
- Maintain organized physical and electronic filing systems.
- Track and manage work orders, purchase orders, invoices, and delivery receipts.
- Ensure compliance with company policies and industry regulations for document retention.
- Update databases and systems with accurate, timely information.
- Auxiliary in scheduling maintenance activities, workforce assignments, and project timelines.
- Cookordination with supervisors, vendors, and contractors to facilitate workflow.
- Monitor inventory levels and assist with ordering office or operational supplies.
- Serve as a point of contact for internal departments and external partners.
- Answer phones, respond to emails, and route inquiries appropriately.
- Serve as a support for meetings by preparing agendas, taking minutes, and tracking action items.
Qualifications
- A high school diploma or GED required; an associate degree preferred.
- 1–3 years of administrative or clerical experience, preferably in an industrial, manufacturing, or construction environment.
- Strong proficiency in Microsoft Office (Excel, Word, Outlook); experience with ERP systems is a plus.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Effective written and verbal communication skills.
Compliance & Safety Support
- Maintain safety records, training logs, and compliance documentation.
- Aid in preparing reports related to audits or inspections.
Working Conditions
- Work is performed in an office setting within or adjacent to an industrial or plant environment.
- May require occasional exposure to noise, PPE requirements, or site safety protocols.
- Standard working hours with potential for overtime depending on operational needs.
Physical Requirements
- Ability to sit for extended periods while working on a computer.
- Occasional walking in plant or warehouse environments.
- Ability to lift up to 20 pounds (files, office supplies).
