About the role
The Administrative Business Partner Associate provides administrative and operational support within a designated department or business unit. This role helps coordinate workflows, maintain documentation and tracking systems, support recurring activities, and ensure assigned tasks are completed accurately and on time. The position contributes to departmental efficiency by enabling partners and leadership to remain focused on strategic priorities.
Responsibilities
- Support department workflows, schedules, deadlines, and recurring administrative activities.
- Track action items, tasks, deliverables, and due dates using established tools.
- Prepare and distribute meeting notes, action items, and departmental updates.
- Assist with coordinating departmental initiatives and maintaining project trackers.
- Follow up on assigned items and communicate status updates to appropriate managers.
- Escalate questions, discrepancies, or issues to managers as needed.
- Prepare and maintain routine reports, dashboards, presentations, and administrative documentation.
- Maintain organized electronic records in accordance with established standards.
- Provide administrative and operational support to department partners.
- Maintain and update department systems, rosters, intake forms, and tracking tools.
- Enter and update workforce information and escalate discrepancies for resolution.
- Support onboarding, training, compliance, and workforce readiness activities.
- Coordinate with HR, Administrative Services, Training, and other internal teams.
- Assist with travel arrangements, logistics, and expense-related activities.
- Support internal meetings, events, and calendar coordination.
- Use Microsoft Office and approved business tools to complete assigned responsibilities.
- Develop proficiency in department-specific systems, applications, and digital tools.
- Participate in training for new systems and identify opportunities to improve administrative processes.
- Complete assigned tasks accurately, on time, and within established budget requirements.
- Perform other related duties as assigned.
Requirements
- Basic knowledge of administrative and clerical procedures.
- Ability to follow written and verbal instructions accurately.
- Strong organizational skills and attention to detail.
- Ability and willingness to learn new software, systems, and administrative processes.
- Beginner-level proficiency with Microsoft Office applications, including Excel, Word, Outlook, PowerPoint, and Teams.
- Basic exposure to scheduling, travel coordination, or event support preferred.
- Familiarity with SharePoint, Adobe, or Bluebeam is helpful but not required.
- Basic familiarity with AI-enabled and digital productivity tools is helpful but not required.
- Ability to manage multiple routine assignments and meet established deadlines.
- Professional communication and interpersonal skills for working with department partners and internal teams.
