Job Summary
Acts as an extension of senior management ensuring a positive customer experience while being the representative of senior management to others. Provides administrative support and performs numerous duties, including scheduling, writing correspondence, emailing, overseeing visitors, routing callers and answering questions and requests.

We are looking for a talented Administrative Associate to join our Distribution business in San Leandro, CA. 100% Onsite
Responsibilities
- Anticipates the needs of senior management and manages their schedules
- Arranges and coordinates travel, including expense reports and visa/passport requirements
- Gathers, compiles, verifies, and analyzes information for use in memos, letters, reports, presentations, and news releases
- Facilitates smooth communication between senior management, coworkers, and external parties such as media, customers, vendors, and the public
- Maintains the security and confidentiality of management records and files
- Makes sure activities are conducted within established budgets
- Prepares documents and presentations, screens and responds to correspondence and calls, arranges meetings, and takes/distributes minutes
- Acts as a resource for colleagues with less experience
- Ensures compliance with company safety standards, environmental policies, and operational procedures throughout field service activities
- Create, review, and manage estimates, work orders, and customer documentation within company service management systems
- Cover daily scheduling and dispatching of field service technicians for Cummins maintenance and repairs
- Review completed service documentation for accuracy, completeness, warranty compliance, and proper coding before invoicing or claim submission
- Support warranty claim administration by collecting service data, repair details, and required documentation in accordance with Cummins procedures
- Communicate professionally with customers regarding service status updates, scheduling changes, estimated completion times, and follow-up actions
- Collaborate cross-functionally with sales, parts, and engineering teams to support comprehensive customer solutions across service operations
Requirements
- Ability to anticipate the needs of senior management and manage schedules effectively
- Strong organizational and multitasking skills
- Strong communication skills with internal and external stakeholders
- Experience preparing reports, presentations, and managing office coordination tasks
- Ability to work independently and use sound judgment
- Experience in specialized training and relevant experience
Qualifications
- High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations
Skills
- Licensing for compliance with export controls or sanctions regulations
