Responsibilities

  • Assists with maintaining calendars and scheduling meetings for the Chair of OB/GYN and other assigned faculty.
  • Arranges, schedules, and coordinates meetings, conferences, and events for faculty and the chair.
  • Initiates and coordinates travel requests, travel authorizations, and travel arrangements for the Director of the Residency Program and faculty.
  • Reviews, updates, and maintains faculty database information.
  • Maintains surgical schedules for the OB/GYN department.
  • Coordinates, schedules, and processes semi-annual and resident evaluations.
  • Coordinates faculty recruitment activities: search, evaluation, selection, and hiring of new faculty.
  • Coordinates with the Residency Coordinator on resident recruitment, annual reviews, tracking periodic evaluations, and duty hours.
  • Processes all clinical faculty and staff volunteer appointments and paperwork.
  • Reviews hiring packets for accuracy and completion; submits packets to committee members for review; contacts candidates for interviews and arranges visits.
  • Maintains time sheets and leave requests for the Chair of OB/GYN and assigned faculty.
  • Coordinates clinical faculty evaluations by residents, maintains the clinical faculty database and spreadsheets.
  • Performs other related duties as assigned.

Requirements

Minimum Requirements:

  • Education: High School Diploma or GED. (Transcript required)
  • Experience:
    • Four (4) years of administrative/clerical experience; or
    • Associate’s Degree and two (2) years of work-related experience; or
    • Bachelor's Degree in lieu of experience.

Skills

  • Ability to be self-motivated, detail-oriented, and highly organized.
  • Knowledge of and experience using online databases and other resources.
  • Ability to complete all types of forms designed by UT for Finance and Payroll.
  • Excellent interpersonal skills and the ability to communicate effectively and professionally.
  • Excellent written and oral communication and organizational skills.
  • Skill and experience with FileMaker Pro, Excel, Word, and PowerPoint.
  • Knowledge of UT policy and procedures.
