Responsibilities
- Assists with maintaining calendars and scheduling meetings for the Chair of OB/GYN and other assigned faculty.
- Arranges, schedules, and coordinates meetings, conferences, and events for faculty and the chair.
- Initiates and coordinates travel requests, travel authorizations, and travel arrangements for the Director of the Residency Program and faculty.
- Reviews, updates, and maintains faculty database information.
- Maintains surgical schedules for the OB/GYN department.
- Coordinates, schedules, and processes semi-annual and resident evaluations.
- Coordinates faculty recruitment activities: search, evaluation, selection, and hiring of new faculty.
- Coordinates with the Residency Coordinator on resident recruitment, annual reviews, tracking periodic evaluations, and duty hours.
- Processes all clinical faculty and staff volunteer appointments and paperwork.
- Reviews hiring packets for accuracy and completion; submits packets to committee members for review; contacts candidates for interviews and arranges visits.
- Maintains time sheets and leave requests for the Chair of OB/GYN and assigned faculty.
- Coordinates clinical faculty evaluations by residents, maintains the clinical faculty database and spreadsheets.
- Performs other related duties as assigned.
Requirements
Minimum Requirements:
- Education: High School Diploma or GED. (Transcript required)
- Experience:
- Four (4) years of administrative/clerical experience; or
- Associate’s Degree and two (2) years of work-related experience; or
- Bachelor's Degree in lieu of experience.
Skills
- Ability to be self-motivated, detail-oriented, and highly organized.
- Knowledge of and experience using online databases and other resources.
- Ability to complete all types of forms designed by UT for Finance and Payroll.
- Excellent interpersonal skills and the ability to communicate effectively and professionally.
- Excellent written and oral communication and organizational skills.
- Skill and experience with FileMaker Pro, Excel, Word, and PowerPoint.
- Knowledge of UT policy and procedures.
