About the Role
Saint Raphael the Archangel Catholic Parish of Raleigh, a vibrant, multicultural, multi-generational parish of over 3,700 families, including a dynamic pre-school and K-8 school, is seeking an Administrative Assistant to the Pastor. This position provides a welcoming, bilingual presence at the parish reception desk during walk-in hours from Tuesday to Thursday. Mondays and Fridays are dedicated to updating sacramental registers, Mass intentions, and other administrative tasks. The role also supports the pastor in managing marriage preparation processes and paperwork.
Schedule
This is a full-time, professional, ministerial position with a typical workweek of 37.5 hours, including some weekends, holidays, and evening work for events. These times include, but are not limited to, the Christmas season, Holy Week/Easter, and after Mass functions.
Responsibilities
- Greet and direct visitors and callers to the parish office, address inquiries, and guide them to the appropriate person or area.
- Exercise discretion, confidentiality, and professionalism at all times.
- Manage the calendar/schedule of the Pastor, confirm and prepare meetings, and schedule spaces and resources as needed.
- Draft correspondence, particularly regarding permission letters for parishioners and clergy relating to marriages.
- Maintain and manage the parish’s Mass intention program using an online platform.
- Support clergy in preparing couples for marriage in compliance with Diocesan guidelines and liturgical norms.
- Manage official parish sacramental registers, recording baptisms, first Eucharist, Confirmations, marriages, anointing of the sick, and deaths.
- Assist in the preparation of diocesan reports.
Requirements
- Must be a practicing Roman Catholic with a history of involvement in parish ministry.
- Prior administrative work experience.
- Proficient in Microsoft Office, Excel, Google Drive, and email systems.
- Self-starter with excellent organizational skills.
- Excellent written and spoken communication skills.
- Fluency in Spanish is required.
- Employment is contingent upon passing a criminal background and reference check; must complete Diocese-sponsored Safe Environment Training upon hire.
