About the role
The Administrative Assistant to the Chief Operations Officer provides high-level administrative support to the Chief Operations Officer, ensuring the efficient operation of the Operations Administration office. This role involves handling confidential information, managing communications, coordinating schedules, and serving as a liaison between the Chief Operations Officer and internal/external stakeholders.
Responsibilities
- Manage and prioritize the Chief Operations Officer's schedule, including appointments, meetings, and travel arrangements.
- Serve as the primary point of contact for communications with the Chief Operations Officer's office, including handling correspondence, emails, and phone calls.
- Prepare handbooks, presentations, meeting agendas, and other documentation for the Chief Operations Officer.
- Maintain an organized filing system for records and confidential documents.
- Aid in coordinating and preparing materials for Facilities Committee meetings, including drafting meeting minutes.
- Organize and facilitate meetings, conferences, and special events on behalf of the Chief Operations Officer's office.
- Handle sensitive matters with professionalism, discretion, and confidentiality.
- Perform other duties as assigned by the Chief Operations Officer.
Requirements
- Two years of post-secondary training or an equivalent combination of education and experience in executive administration, office management, or a related field.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other administrative tools.
- Strong verbal and written communication skills with the ability to interact effectively with diverse stakeholders.
- Ability to manage multiple priorities, meet deadlines, and work under pressure in a fast-paced environment.
- Must exercise discretion and maintain confidentiality in handling sensitive matters.
- Ability to anticipate needs, take initiative, and work proactively with minimal supervision.
Qualifications
- Minimum qualifications include a bachelor's degree in a relevant field or equivalent experience.
- Experience in a similar administrative role preferred.
- Knowledge of educational research, leadership practices, and school improvement trends.
Skills
