About the role
The Office of the Dean at the University of Pittsburgh School of Nursing seeks an Administrative Assistant to support two Associate Deans. This role involves managing and triaging numerous requests, analyzing information, drafting complex reports, and serving as a liaison on critical academic and administrative matters.
Responsibilities
- Manage and triage numerous requests in a busy administrative office
- Provide Associate Dean with administrative support (e.g., scheduling, maintaining files, coordinating meetings)
- Maintain confidential files, travel-related purchases and expense reports
- Provide back-up to Executive Admin for the Dean of Nursing with general office tasks
- Support BSN Council by creating agendas and minutes with the Council Chair, collecting and maintaining BSN course outlines
- Order supplies and invoices through PantherExpress, manage University credit cards, and reconcile purchases using the expense report system
- Compose complex and routine correspondence for Associate Dean’s signature
- Aid in the maintenance of student databases associated with Associate Dean’s position
- Assist in writing State Board of Nursing and accreditation status reports and other special projects
Requirements
- Bachelor’s degree or equivalent combination of education and experience
- Highly organized and proficient in Microsoft Office applications (MS Word, MS Outlook, Zoom)
- Strong interpersonal, communication, and analytical skills
- Experience in high-level administrative office
Qualifications
- Ability to travel throughout the University
- Moderate physical effort required

Schedule
Monday - Friday, 8:30am to 5:00pm. Combination of on-campus and remote work as determined by the department.
