About the Warnell School of Forestry and Natural Resources

Founded in 1906 as the Peabody School of Forestry, the Warnell School of Forestry and Natural Resources is dedicated to teaching, research, and outreach in the conservation and management of natural resources. The school employs 74 faculty and over 100 support staff, focusing on fisheries and wildlife, forestry, geospatial information technologies, natural resource management, outdoor recreation and tourism, soil and water resources, and sustainability. Warnell offers degrees at the bachelor’s, master’s, and doctoral levels, serving over 300 undergraduates and 230 graduate students. Alumni include leaders in industry and government agencies.

About the Role

This position provides administrative support for the Associate Dean for Academic Affairs, Assistant Dean of Academic Affairs, and other academic program staff in the Warnell School. The role reports to the Associate Dean for Academic Affairs and requires strong organizational, communication, and multitasking skills in a time-sensitive environment. The incumbent must maintain confidentiality and work effectively with faculty, staff, students, and administrative officials.

Responsibilities

  • Supports the Associate Dean and the Assistant Dean of Academic Affairs (25%):
    • Provides administrative support and responds to routine requests.
    • Proofreads and transmits work from the Associate Dean’s office.
    • Handles email, telephone, and mail communications as directed.
    • Assists with the Promotion and Tenure process, 3rd-year reviews of untenured faculty, and Post-Tenure reviews.
    • Maintains secure and confidential records, organizes filing systems, and prepares reports.
    • Handles preparation and recording of Learning Outcome Assessments using Microsoft Forms.
    • Distributes Instructor Reports to faculty.
  • Provides Academic Affairs Support (25%):
    • Coordinates Warnell School certificate programs, verifies requirements, and clears students for graduation.
    • Provides administrative support for curriculum actions, including appeals, admissions, and academic program committees.
    • Supports the Warnell Internship process, including overrides and triaging MOU approvals between Academic Affairs, the Warnell Dean, and UGA Legal.
    • Coordinates and facilitates visiting speakers for seminars and student club events.
  • Provides Administrative Support for Student Services and School-Sanctioned Events (25%):
    • Provides administrative and day-of coordination support for Warnell school events.
    • Plans, executes, and coordinates Warnell Day on the Lawn.
    • Plans, executes, and coordinates Spring and Fall Warnell commencement ceremonies.
  • Provides Budgetary and Fiscal Support (15%):
    • Reviews budget and yearly spending for Academic Affairs and Student Services.
    • Submits invoices, processes payments, and provides support for orders.
    • Coordinates and processes Fall and Spring Merch Sales, including production, financial processing, and item pickup.
  • Provides Student Services Support (10%):
    • Manages Warnell student clubs, acts as a point of contact, and manages club budgets.
    • Collaborates with the Warnell Academic Advisor to ensure club policies are followed.
    • Supports program staff with clerical work as needed.
    • Supports reservations for classrooms and meetings via 25Live.

Requirements

  • High school diploma or equivalent and 2 years of related experience.
  • Detailed-oriented with the ability to manage multiple tasks in a time-sensitive environment.
  • Strong organizational, oral, and written communication skills.
  • Ability to maintain confidentiality.
  • Valid driver’s license.

Preferred Qualifications

  • Experience with UGA’s financial processes, classroom reservation software (25Live), Athena, Banner, and Qualtrics.
  • Experience working with certificate programs.

Physical Demands

  • Lift up to 30 pounds.
  • Sit for long periods of time.
  • Occasional driving.

Schedule

Monday – Friday, 8 AM – 5 PM. Some night or weekend hours may be required for events, as discussed with the supervisor.

Employment Type: Full-time, benefits-eligible.
