About the role

Thompson Solutions Group is seeking an Administrative Assistant to join their Service team. This position supports operations by managing customer service requests, scheduling appointments, preparing and maintaining documentation, and assisting with billing processes.

Key Responsibilities

  • Coordinate and schedule appointments for customers and service technicians, ensuring efficient use of resources and attention to detail.
  • Communicate with customers about service request status, updates, delays, or billing inquiries.
  • Support invoicing processes by ensuring work orders are accurate and complete.
  • Verify employees’ hours worked and maintain accurate records.
  • Perform general administrative tasks, including answering phones, responding to emails, and maintaining service records.
  • Collaborate with team members to meet deadlines and ensure smooth workflows.
  • Handle other duties as assigned to support the department’s efficiency and success.

Requirements

  • A high school diploma or equivalent; additional education or training in administrative support or customer service is a plus.
  • 1-2 years of experience in an administrative, dispatcher, customer service, or clerical role, preferably in a service-oriented industry.
  • Exceptional organizational skills, with the ability to prioritize tasks, meet deadlines, and adapt to changing circumstances.
  • Strong written and verbal communication skills, with the ability to interact professionally with both team members and customers.
  • Proficiency in Microsoft Office programs, particularly Excel and Outlook, with the ability to learn new software applications quickly.
  • A high attention to detail and accuracy in managing schedules, data, and documentation.
  • The ability to work independently, think critically, and solve problems effectively in a dynamic environment.
  • Excellent customer service skills, both over the phone and in written communication.
