About the role

The Administrative Assistant provides administrative support to one or more managers or functions, handling routine to advanced correspondence and collecting information for reports. This role operates with guidance from a supervisor and supports JE Dunn’s strategy, vision, and values.

Responsibilities

  • Provides routine administrative support, including managing calendars, planning meetings/events, making travel arrangements, preparing expense reports, printing, and filing.
  • Processes and distributes incoming mail, maintains records, and manages filing systems.
  • Oversees calendars, schedules appointments, and arranges meeting logistics, including travel and expense reports.
  • Handles incoming communications (mail, email, phone, fax) and responds to routine requests without supervisor intervention.
  • Provides switchboard relief or additional administrative support to meet business needs.
  • Maintains composure under pressure, assesses priorities, and adjusts time/resources for efficiency.
  • Collaborates cross-functionally to gather information and solve problems.
  • Exercises discretion with confidential and sensitive information.
  • Prepares internal/external correspondence (letters, memos, contracts) to best-practice standards.
  • Collects information from various sources to create routine and custom reports for internal/external distribution.
  • Prepares presentations and proactively coordinates with teams to ensure meeting preparedness (logistics, materials, travel).
  • Uses systems (Cosential, Image and Workflow, internal portal) to obtain information and improve efficiency.
  • Responds to business needs with limited information, gathering knowledge to complete complex tasks.
  • Evaluates and suggests process improvements to align with best practices.
  • Manages difficult customer situations promptly and meets client commitments.
  • Solicits and applies feedback to improve quality and service.

Requirements

  • High School Diploma or GED (required).
  • Associate’s degree in office administration or related field (preferred).
  • 5+ years of administrative support experience (required).
  • Equivalent relevant experience may substitute for education requirements.

  • Intermediate proficiency in MS Office.
