About the role
This position is responsible for providing a wide variety of administrative duties to support the campus. In this role, the Administrative Assistant will support various departments as needed, including greeting cards, photocopying, key requests, invoicing, filing, and more.
Responsibilities
- Prepare greeting cards, photocopy documents, request keys, and invoice clients.
- Update resident electronic medical records and assist in annual updates of resident information.
- Maintain office supplies inventory and order replacements as needed.
- Support administrative and community events by providing logistical assistance.
- Coordinate and take meeting notes for administrative meetings.
- Create and maintain processes and procedures for administrative functions in a common database.
- Filing of resident information and processing invoices for final approval.
- Oversee large copy projects and provide support for reception desks.
- Fill in as needed for receptionist during meetings, lunch breaks, or other circumstances.
- Provide technological training and support to the concierge on various software applications and office equipment.
- Train and support new initiatives and receptionists.
- Handle special projects as assigned by the administration office.
Requirements
- High school education or equivalent.
- One year of related office experience providing clerical or administrative support.
- Experience in healthcare setting.
- Highly organized, detail-oriented with excellent interpersonal and communication skills both verbally and in writing in English.
- Ability to remain calm in an emergency situation.
- Complete confidentiality when circulating general information.
- Proficient in Microsoft Office Suite.
- Able to deal tactfully with staff, residents, family members, visitors, and the general public.
- An interest in and desire to work with older adults.

Pay
The pay range for this position is $22.00 - $25.00 per hour. A reasonable estimate of the pay range is provided based on job-related qualifications, experience, skills, education, geographic location, and consideration of internal and external equity. For full-time employees, we offer a generous benefits package.
