The Administrative Assistant - Office of Simulation in Medicine and Surgery at Rocky Vista University Health Center in Ivins, UT, provides administrative support to the Office of Simulation in Medicine and Surgery.
Responsibilities
- Demonstrate collegiality, compassion, and professionalism as the first point of contact for people entering or contacting the Office of SIMS and Healthcare Simulation Center (HSC), including in-person, emails, and phone calls.
- Work with Associate Director and Coordinators in scheduling all simulation events, communicating with all users, and updating calendars weekly.
- Be aware of and post regularly all events occurring in the Office of SIMS- on and off campus.
- Affords assistance in recruitment, screening, and hiring of live actors, Simulated Patients (SPs), working in conjunction with WSi (the third-party provider for SP hiring and payroll).
- Affords assistance in organizing and scheduling SP encounters, including the creation and distribution of surveys for SP participation.
- Affords assistance in all aspects of the EMS system (and other applicable software), including entering case material, checklists, and documentation to support the development of simulation sessions.
- Maintains awareness and troubleshooting during events when necessary.
- Responsible for ordering and maintaining Office of SIMS supplies.
- Processes check requests, invoices, and purchase card statements by using iNet, Concur, and other software systems.
- Schedules Department and Faculty meetings, takes minutes, and distributes when appropriate.
- Affords assistance in arranging faculty and staff travel and lodging logistics.
- Schedules and leads HSC Tours when possible.
- Affords assistance in building a culture that respects, values, and promotes diversity, equity, and inclusion.
- Other duties as assigned.
Qualifications
- High school diploma or equivalent.
- Two years of previous experience in an administrative support position, or equivalent work experience.
- College or associate’s degree from an accredited institution preferred.
- Professional background or experience in healthcare or education preferred.
