About the role

We are seeking a detail-oriented and organized Administrative Assistant to provide support to our legal team. This role will assist with routine financial and administrative tasks and the preparation of simple legal forms for attorney review. The position is for a duration of one year, with the possibility of extension or conversion. This is an onsite role in Juno Beach, FL.

Key Responsibilities

  • Provide advanced administrative support to a department or group of professionals.
  • Aid with data entry and maintenance of financial records.
  • Prepare and process invoices, expense reports, and purchase orders.
  • Support the reconciliation of accounts and verification of financial data.
  • Use AI tools to reconcile and generate reports.
  • Aid in the preparation of simple legal documents, including using Mail Merge features in Microsoft Word.
  • Organize and maintain digital and physical filing systems.
  • Receive and respond to routine correspondence following established procedures.
  • Perform general administrative duties including scheduling, document preparation, and correspondence.

Required Qualifications

  • Education: A High School Diploma or GED is required.
  • Experience: 3-5 years of administrative experience. The hiring team is open to interviewing a wide range of experience levels, as the skills acquired do not always match the stated years of experience.
  • Technical Skills: Proficiency in Microsoft products, with strong skills in Microsoft Excel and Word, including mail merge functions. Strong capability with AI tools such as ChatGPT and Microsoft CoPilot to assist the team in improving processes and generating reports.
  • Preferred Qualifications: An Associate's degree is preferred.

Pay

The pay for this role is competitive and commensurate with experience.
