Administrative Assistant Kuwait Liaison Office
Overview
i3 is searching for an Administrative Assistant to provide direct support to both the Country Liaison Officer & the Kuwait Liaison Office. This position is located in Philadelphia, PA at NAVSUP WSS Philadelphia and currently supports a hybrid schedule (on-site and remote).
Responsibilities
- Prepare correspondence, coordinate business travel, and meet arrangements.
- Answer phones, file, sort and distribute mail.
- Support the Kuwait Officer by:
- Opening new accounts & completing various forms for services on behalf of the officer & his family.
- Answering questions about medical coverage & healthcare and dental services available in the area.
- Enrolling the officer's children in school.
- Reviewing the home/rental lease with the officer annually.
- Taking meeting minutes and action items during meetings as requested and performing basic follow-up.
- Assigning special projects that are clerical and administrative or administrative in nature.
- Making appointments, business travel arrangements, meeting arrangements, and coordinating with program management, customer personnel, and outside parties.
- Ensuring vehicles are properly maintained through dealerships.
- Support the office by:
- Reporting to the office at 0700 to check voice mail & faxes and distribute messages accordingly.
- Preparing FedEx packages to send correspondence to various places, usually the Kuwait Embassy.
- Maintaining inventory of office supplies, troubleshooting equipment malfunctions, and coordinating any repairs & maintenance issues with base maintenance.
- Maintaining the cleanliness of the office.
Qualifications
- A High School Diploma and a minimum of three (3) years of administrative experience is required.
- A valid U.S. Driver’s License with a good driving record is required; a commercial license is not required.
- An excellent command of the English language, both oral and written, is required.
- The ability to type 40 words per minute is required.
- Proficiency in Personal Computer (PC) usage and Microsoft family of software, to include as a minimum: MS Word, MS Excel, and MS Outlook, is required.
- Familiarity with the Philadelphia area and surrounding areas is required.
- A Favorable Determination on the Security Background Investigation and eligibility to receive a Common Access Card (CAC) is required.
- A DoD security clearance may be needed.
- U.S. citizenship is required.
- Possessing a current Favorable Background Investigation is preferred.
