About the Role

The Administrative Assistant provides essential administrative and operational support for the IT Training team within Information Technology. This position serves as a primary point of contact for customers, coordinates training logistics, maintains records and documentation, supports business processes, and assists with daily office operations. The position works closely with trainers, managers, campus partners, and customers to ensure the efficient delivery of training programs and services.

Responsibilities

  • Coordinate administrative activities for IT Training and Communications programs
  • Serve as a customer service contact for training participants, university departments, and campus partners
  • Manage training registrations, rosters, attendance records, evaluations, eLearning completions, and related documentation
  • Prepare training materials, course packets, name tents, signage, login cards, and classroom resources
  • Coordinate printing, copying, filing, inventory tracking, and distribution of training materials
  • Support scheduling and logistical preparation for in-person, virtual, and eLearning training offerings
  • Process and monitor system access and training prerequisite requests using established procedures
  • Communicate with customers regarding training requirements, registrations, course completion, and related administrative matters
  • Maintain departmental records, files, inventories, and operational documentation
  • Assist with purchasing, budget-related paperwork, receipts, and other administrative processes
  • Support office operations, special projects, meetings, and event coordination as assigned
  • Recommend and implement process improvements that enhance efficiency and customer service

Requirements

  • Demonstrated experience providing administrative, clerical, office, or customer service support
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • Attention to detail and accuracy in maintaining records and processing information
  • Proficiency with Microsoft 365 applications, including Outlook, Word, Excel, Teams, and related office technologies
  • Ability to provide professional customer service and work effectively with a broad range of audiences
  • Ability to learn university business systems, policies, and procedures

Pay

Hourly pay rate: $17

Schedule

Part-time position, non-exempt (eligible for overtime).
