About the role
We are seeking a highly organized, proactive, and professional Administrative Assistant to support our Institutional Capital team. This individual will play a critical role in ensuring the efficient operation of the team by providing administrative support, coordinating complex schedules, managing travel and expenses, and serving as a key point of contact for internal and external stakeholders.
Responsibilities
- Manage complex calendars, including scheduling appointments, meetings, and conferences for multiple team members
- Coordinate complex domestic and international travel arrangements, including building out itineraries, visa coordination, and transportation arrangements
- Reserve conference rooms, arrange catering, and prepare meeting materials as needed
- Track business and travel expenses, collect required documents, and prepare accurate expense reports
- Serve as point of contact for internal and external stakeholders, ensuring timely follow-up
- Maintain organized and up-to-date files, records, and correspondence
- Build and maintain strong working relationships with senior leadership, colleagues, vendors, and clients
- Handle confidential information with discretion and professional judgement
- Coordinate conference participation, including registrations, payments, attendee tracking, and vendor communications
- Support special ad hoc projects as needed
Requirements
- Bachelor’s degree preferred or equivalent professional experience
- 3+ years of administrative support experience, preferably within financial services or a professional services environment
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
- Experience with Adobe Acrobat DC and Concur
- Salesforce experience is a plus
- Exceptional organizational, prioritization, and time management skills
- Strong written and verbal communication skills
- Ability to work independently while collaborating effectively across teams
- Demonstrates the highest level of professionalism and discretion in handling sensitive information

Pay
The base annual salary range for this New York-based position will be $90,000 to $110,000. Actual salaries may vary based on factors such as skill, experience, and qualification for the role. Employees may be eligible for a discretionary bonus, based on factors such as individual and team performance.
