Administrative Assistant III, Staffing

About the role
The Administrative Assistant III, Staffing supports Goodwill Staffing (Goodwill of Colorado’s staffing agency) with administrative functions, sourcing candidates, assessing qualifications, and positioning them for job opportunities within the Applicant Tracking Systems (ATS). This role also handles light office duties and contributes to the overall success of the company. Goodwill Staffing recruits businesses for temporary, temp-to-hire, and direct hire staffing needs.
Responsibilities
- Assist with office tasks including answering phones, checking voicemail, responding to emails, updating spreadsheets, and communicating the in-person interview schedule to the Front Desk Receptionist.
- Assist candidates through the recruitment process from application to onboarding.
- Support all aspects of Safety (training, documentation, etc.).
- Maintain and update the Applicant Tracking System (ATS) to track all open requisitions and candidate pipelines.
- Follow up with applicants who have applied for positions via phone or email.
- Upload and file documents in electronic filing systems (e.g., ATS, personal files, client files).
- Ensure new hires are onboarded properly, including new hire paperwork, I-9/E-Verify, background checks, DIY/safety training, and other required items for Goodwill and/or clients.
- Work with HR to comply with Equal Employment Opportunity Commission (EEOC) measures, Affirmative Action compliance, and maintain accurate documentation for job descriptions, postings, applications, interview notes, and job offers.
- Update sourcing databases daily to ensure accurate data capture, updates, and reporting.
- Support the Staffing Manager with office operations and general computer work.
- Work directly with Staffing Recruiter and Account Executive to understand staffing needs and identify candidates for active and passive pipelines.
- Execute creative and innovative recruiting strategies and act as a backup for posting positions in the ATS.
- Schedule interviews and support the Staffing team with sourcing and recruiting applicants.
- Assist the Staffing team by identifying potential candidates, passive candidates, and specialized or hard-to-fill roles through internal databases, referrals, social networking, and web sourcing.
- Screen candidates for basic qualifications, interest, salary, availability, and other job qualifications.
- Conduct sharp interviews to assess both technical and cultural fit.
- Meet or exceed Staffing Team metric goals.
Requirements
- High School diploma or equivalent required; some college preferred.
- 1-2 years of administrative experience preferred.
- Previous temp staffing experience and experience using ATS (e.g., UKG, Tracker) preferred.
- Excellent organizational skills, flexibility, and ability to follow through with full-cycle recruiting and building talent pipelines.
- Strong verbal and written communication skills; ability to interact effectively with candidates, clients, and the Staffing team.
- Proficiency in Microsoft Word, Excel, Outlook, and Google Chrome.
- Experience working in data software systems.
- Ability to work effectively with diverse people, including persons with disabilities, individuals at all levels of the company, community partners, vendors, and job applicants.
- Discretion with confidential information related to the company and its employees.
- Ability to work with a team to understand technical and professional requirements of roles and office functionality.
- Ability to drive for company business (preferred).

- Must disclose all moving traffic violations or vehicle crashes within the last five years (not all violations disqualify employment; each case is reviewed by the insurance carrier).
- Must have a valid Colorado State driver license.
- Must be able to operate a company vehicle and adhere to all Federal, State, and local laws governing vehicle operation.
- For personal vehicle use (mileage reimbursement), must have valid vehicle insurance, a valid driver license, and a roadworthy vehicle.
Pay
$21/hour. This position is eligible for Daily Pay—work today, get paid today through our partnership with DailyPay.
Schedule
Monday–Friday, 8:00 AM–5:00 PM.
