About the role

The Administrative Assistant II, Physician Assistant Studies will support the administrative needs of the MUPA clinical year. The primary focus will be on student onboarding for clinical rotations, collaborating and communicating with clinical partners and students, and entering student rotation requests into different software systems.

Responsibilities

  • Provide clinical site onboarding support of health care partners (i.e., My Clinical Exchange) with student and administrative communication.
  • Serve as point of contact for health care partner administrative leads.
  • Enter and track all clinical student rotation requests based on different organization processes/software systems.
  • Affiliate Agreements, update the recruitment tracker, build new preceptor/sites in Exxat, enter preceptor availability, and ensure all documents are obtained as part of the new preceptor onboarding process.
  • Reconcile student evaluations required from preceptors, outreach, communication, and tracking for accreditation purposes.
  • Affirm accreditation license and certification verification and collection of CVs, per accreditation standards.
  • Monitor invoicing, billing, and payments, for sites requiring fees and payments. Reconcile changes and track credits.
  • Track missed days for clinical students and reconcile missed days with asynchronous work completion.
  • Perform all other duties and responsibilities as assigned or directed by the supervisor including but not limited to receiving deliveries, greeting visitors to the building.

Requirements

  • High school diploma
  • A minimum of 2 years of related administrative support experience
  • Knowledge of how health care partners/hospital systems function with training PA students
  • Excellent customer service and communication skills
  • Excellent organizational and prioritization skills
  • Experience with financial information and use of Excel spreadsheets
  • Ability to organize and maintain manual and electronic filing systems

Qualifications

  • Bachelor's degree in Business, Communications, or related field
  • Some health care landscape background (not as a provider)
