Administrative Assistant II, Hematology Oncology

Join the growing BILH team and make a difference in people’s lives. The Administrative Assistant II supports the Hematology Oncology Department at BIDMC in Boston, MA. This is a full-time, onsite position with the potential to transition to a partially remote work arrangement in the future.
Responsibilities
- Provides administrative support to physicians in their clinical practice, academic, and research roles.
- Answers and screens telephone calls, takes accurate messages, or directs calls to the appropriate person.
- Greets and directs patients, families, visitors, and staff; responds to requests in a timely manner.
- Updates patient demographic and insurance information and obtains specialist referrals for appointments.
- Schedules patient appointments using scheduling tools and coordinates ancillary appointments and procedures.
- Obtains patient information and materials from referral sources and prepares patient records for clinical activities.
- Acts as a liaison with other departments and external customers, handling confidential information appropriately.
- Collects co-payments from patients at point-of-service and coordinates billing tickets for office visits and services.
- Maintains physicians' clinical and administrative schedules and calendars.
- Types correspondence, manuscripts, and other documents; transcribes letters and patient notes as needed.
- Notifies, confirms, and reminds patients of scheduled appointments via letters or phone calls.
- Obtains authorization for radiologic exams as needed.
- Sorts, copies, files, and distributes incoming and outgoing correspondence and mail.
- Participates in special projects and process improvement initiatives as requested.
Requirements
- High School diploma or GED required; Associate's degree preferred.
- 1-3 years of related work experience required.
- Experience with computer systems, including web-based applications and Microsoft Office (Outlook, Word, Excel, PowerPoint, or Access).
Preferred Qualifications
- Healthcare experience.
- Strong written and oral communication skills in English.
- Ability to demonstrate full working knowledge of standard concepts, practices, and procedures.
- Ability to work collaboratively in small teams and provide high-level customer service.
- Ability to remain calm in stressful situations.
Physical Demands
Sedentary work: Exerting up to 10 pounds of force occasionally in carrying, lifting, pushing, or pulling objects. Sitting most of the time, with walking and standing required only occasionally.
Pay
The pay range for this position is $21.00 - $28.26 per hour. Actual compensation is determined based on factors such as seniority, education, training, relevant experience, certifications, geography, job responsibilities, and other applicable factors. Compensation may exceed the base hourly rate depending on shift differentials, call pay, premium pay, overtime, and other additional pay practices.
