About the role
The Administrative Assistant provides administrative support to the Executive Director and Director(s) of the LU Serve program. This role involves managing calendars, correspondence, and special requests; overseeing office hospitality and supplies; assisting with new employee and student worker onboarding; managing receipt reconciliation; collaborating with the Engagement & Operations Coordinator; and supporting various LU Serve events and initiatives.
Responsibilities
- Manage calendars, correspondence, and special requests for Executive Director and Senior Director.
- Oversee office hospitality and coordination of office supplies.
- Aid in new employee and student worker onboarding and administrative tasks.
- Manage receipt reconciliation for LU Serve staff and Serve Now trips.
- Collaborate with the Engagement & Operations Coordinator to update the budget tracking program.
- Assist with the oversight and supervision of all LU Serve student workers (review of the student worker manual, setting up work shifts, clocking in/out, time off requests, etc.).
- Record notes for LU Serve team meetings and other meetings as directed.
- Collect data from meeting minutes for annual executive summaries.
- Provide administrative support with the Experiential Education team for CSER emails, calls, and in-person consultations.
- Support other LU Serve events, programs, and initiatives (e.g., Local Church Emphasis Day, CSER Expo, Meal-Packing, Serve Lynchburg, etc.).
- Stay informed about relevant technologies, processes, products, services, and industry benchmarks.
- Adhere to Liberty University policies and represent the University in an exemplary manner.
- Work effectively as a team member, embracing and fostering the Christian model and Mission of LU Serve.
Qualifications and Credentials
- Four-year college degree or equivalent.
- 2+ years of experience in basic accounting, data management, administrative oversight, and/or customer service.
- Preferred: 2+ years of experience working for a non-profit organization and 2+ years of experience working in customer service.

- Communication and Comprehension: Ability to communicate clearly both verbally and in writing.
- Problem Solving: Intuitively able to reason, analyze information, and apply judgment to solve problems.
Physical and Sensory Abilities
- Frequently required to sit for extended periods to perform deskwork or type on a keyboard.
- Regularly required to hear and speak to effectively communicate.
- Occasionally required to stand, walk, and climb stairs.
- Regularly lift up to 15 pounds.
WORKING CONDITIONS
- Climate-controlled office setting.
- Well-lighted and moderate noise level.
Driving Requirements
- May require the use of one’s personal vehicle (or LU vehicles) for travel.
- Valid driver’s license, acceptable DMV record, LU Driving Approval, and liability insurance required.
