Administrative Assistant II
Job Responsibilities
- Provide administrative and operational support to the Chief Marketing Officer, including calendar management, meeting coordination, and travel arrangements.
- Support leadership team through meeting coordination and other administrative support.
- Cook up all marketing team meetings and marketing-hosted meetings, including preparing agendas, compiling materials, and tracking follow-ups and action items.
- Serve as a central point of coordination for the Marketing team, helping maintain alignment across leaders and functions as priorities evolve.
- Process vendor invoices and support billing activities, ensuring timely and accurate submission and follow-through.
- Track marketing spend to support visibility into budgets and expenses.
- Manage travel and expense (T&E) reporting for the CMO and leadership team.
- Act as a liaison between the CMO, internal stakeholders, and external partners as needed.
- Maintain confidentiality for matters that may be proprietary, financial, or sensitive in nature.
- Aid in coordinating team initiatives or projects, as needed, to support execution and organization-level priorities.
Minimum Qualifications
- Must have a high school diploma or equivalent.
- Must have 5–10 years of experience as an Administrative and/or Executive Assistant supporting senior leadership.
- Must be proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Must have excellent organizational skills and attention to detail.
- Must have strong communication skills, both written and verbal.
- Must be able to operate independently while managing multiple priorities.
- Must demonstrate strong judgment, discretion, and professionalism.
- Must be comfortable working in a fast-paced, high-energy environment with shifting priorities.
Pay
Salary Range: $45,250.00 - $74,338.75
Individual base pay may vary on additional factors such as the candidate’s experience, job-related skills, relevant education, geographic location, and other specific business and organizational needs.
