Brief Description

The Lewis and Clark County Public Works is recruiting for an Administrative Assistant II position. Under the supervision of the Assistant Public Works Director, this role supports the Public Works Department, including Road, Bridge, Shop, Buildings, and Solid Waste divisions.

About the Role

The Public Works Department oversees various divisions such as Roads, Bridge, and Sign, Vehicle Maintenance, Building Maintenance, and Solid Waste. It manages services like road maintenance, snow removal, construction projects, vehicle upkeep, and waste management.

Responsibilities

  • Provides exceptional customer service by answering phones, greeting visitors, and assisting employees.
  • Processes and manages correspondence, composing letters, memos, and reports.
  • Communicates with the public, vendors, and government agencies, handling inquiries, complaints, and emergencies.
  • Schedules meetings, prepares agendas, and takes minutes.
  • Manages cash receipts, posts payments, and prepares deposits.
  • Maintains and updates the Public Works website.
  • Creates and maintains databases and spreadsheets for various projects and reports.
  • Performs research and provides financial and statistical information to management.
  • Drafts and distributes public service announcements and articles.
  • Issues overweight permits and posts agenda items online.
  • Purchases materials and supplies, negotiates with vendors, and manages office needs.
  • Aids in special projects as assigned.

Requirements

  • Education and Experience: Equivalent to a high school diploma and two years as an administrative secretary, or similar.
  • Associates degree in business or office technology preferred.
  • Knowledge, Skills, and Abilities: Familiarity with Lewis and Clark County and Public Works policies, data management, customer service, and office equipment.
  • Physical Demands: Ability to stand, bend, kneel, reach, talk, hear, see, lift up to 30 pounds, and operate office equipment.

Qualifications

  • Education and Experience: Equivalent to a high school diploma and two years as an administrative secretary, or similar.
  • Associates degree in business or office technology preferred.
  • Knowledge, Skills, and Abilities: Familiarity with Lewis and Clark County and Public Works policies, data management, customer service, and office equipment.
