Administrative Assistant - HVAC
About the role
Provides general administrative support to the branch manager, exercises judgment in decision making, has knowledge of branch process and procedures, and assists in the coordination and activities of employees engaged in maintaining, servicing and installing commercial HVAC equipment.
Responsibilities
- Schedules and coordinates service and maintenance calls for multiple service technicians.
- Dispatches service technicians on a daily schedule.
- Processes and bills completed service invoices.
- Orders parts as necessary and schedules return service calls.
- Quotes the customers on repairs as needed.
- Keeps customers updated on service calls through multiple websites and other tools.
- Provides maximum customer service, accurate communication, and courtesy to all co-workers, management and customers.
Requirements
- A high school diploma or equivalent.
- At least 2 years of experience in an administrative position or dispatch role.
- Experience in the HVAC industry or service trade industry is preferred.
- Proficiency in Microsoft Word, Excel, and PowerPoint.
- Ability to prioritize work, manage multiple tasks, and maintain organization.
- Self-directed, excellent customer service skills, keen organizational and prioritization abilities, and strong written and verbal communication skills.
Qualifications
High school diploma or an equivalent combination of education and experience. 2+ years experience in an administrative position or dispatch role preferred. HVAC industry or Service trade industry preferred. Proficient in Microsoft Word, Excel and PowerPoint. Must be able to prioritize work, work on multiple tasks and maintain organization. Strong written and verbal communication skills.

Pay
This is a salaried non-exempt role. Starting salary range for this role and market is between $35,000 – $44,000 annually. Factors that may affect starting salary include geography/market and the skills, education, experience, and other qualifications of the successful candidate. Employees in this role are also eligible for a bonus in accordance with the terms of the Company’s applicable plan.
