About the role

Our client, a leader in the technology sector, is looking for a skilled Administrative Assistant to join their team for a 6-month engagement. This role provides critical support within a high-paced, finance-oriented environment. This is a high-impact position that requires a self-motivated, proactive professional who can hit the ground running and manage complex, competing priorities with sound judgment and a professional attitude.

Key Responsibilities & Deliverables

  • Calendar Management: Managing and maintaining highly complex, shifting calendars, scheduling appointments, and resolving scheduling conflicts.
  • Document & Workflow Management: Processing and tracking a high volume of documents, including coordinating with Legal for sign-offs and ensuring timely completion of signature workflows.
  • Communication & Inquiry Management: Monitoring email inquiries related to approvals and document requests, ensuring timely follow-up, and managing internal communication channels (email lists/Slack).
  • Operational Support: Assisting with procurement processes (PO requests), maintaining internal documentation/shared drives, and supporting onboarding/offboarding tasks.
  • Event & Logistics Support: Coordinating team-building activities, office festivities, and Town Hall logistics, including A/V needs and guest/investor relations.
  • Ad Hoc Initiatives: Supporting special projects, travel arrangements, expense reports, and cross-functional administrative requests as needed.

Required Skills & Experience

  • We Are Looking For a Candidate With a Proven Track Record Of Supporting Leadership In Demanding Environments. The Ideal Candidate Will Have 5+ years of experience providing administrative support to VPs and above, ideally within a Finance-oriented or fast-paced corporate environment.
  • Exceptional calendar management and communication skills (verbal and written).
  • Advanced proficiency in the MS Office Suite (Word, Excel, PowerPoint, Outlook, Project) and Google Drive.
  • Strong analytical skills with an ability to solve abstract problems and handle sensitive, confidential information with integrity.
  • High level of reliability and flexibility, with the ability to adjust work hours on short notice.
  • Strong key competencies including organizational agility, interpersonal savvy, and the ability to deal with ambiguity.

W2 only (No C2C or 1099 contractors)
