Position Summary

The Executive Assistant is a trusted partner to the executive leadership team, providing high-level administrative, operational coordination, and project support that enables executives to focus on the business's strategic direction. This role is more than a traditional executive assistant position. It serves as the central point of coordination for the Executive Office, managing executive priorities, supporting the Board of Advisors, coordinating communications and events, and driving follow-through on key initiatives.

Key Responsibilities

  • Support and promote Double H Packaging's commitment to a safe, professional, and respectful workplace.
  • Provide administrative and operational support to the CEO and executive leadership team.
  • Manage executive calendars, meetings, and correspondence.
  • Prepare reports, presentations, and executive communications.
  • Plan company meetings, executive events, customer visits, vendor dinners, and leadership meetings.
  • Track executive action items, strategic projects, and cross-functional initiatives.
  • Serve as the primary liaison between executives, employees, customers, vendors, and business partners.
  • Maintain confidential information with the highest level of professionalism and discretion.
  • Identify opportunities to improve executive office processes and organizational efficiency.
  • Cook up Board of Advisors meetings, agendas, presentations, minutes, and follow-up actions.

Qualifications

  • Education & Experience: Associate's or Bachelor's degree in Business, Communications, or a related field preferred. Five or more years supporting senior executives or executive leadership teams. Manufacturing experience preferred. Experience supporting Boards of Directors or Board of Advisors is a plus.
  • Skills: Exceptional organizational and time management skills. Excellent written and verbal communication. Strong judgment, discretion, and professionalism. Ability to manage multiple priorities in a fast-paced environment. Advanced proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint, and Teams). Highly proactive with strong attention to detail and follow-through.
