This is a full-time, on-site position located at Sanger Hall in downtown Richmond, reporting Monday–Friday, 8 am–5 pm.
Responsibilities
- Provides confidential secretarial and administrative support, including data entry, coordination, mailings, and general tasks.
- Schedules meetings and generates meeting minutes.
- Researches and resolves invoice and payment issues related to purchase orders and vendor invoices.
- Enters purchase orders into the system to assist in procurement of equipment, software, and services.
- Tracks and monitors purchase orders; updates and maintains records of financial transactions and vendor contracts.
- Performs fiscal, bookkeeping, and accounting-related duties in preparing and maintaining fiscal and accounts payable records and reports.
- Represents the department, requiring strong communication, accountability, and responsibility.
- Ensures accurate scheduling of activities, meetings, and events; provides timely scheduling information.
- Handles urgent and sensitive information daily while maintaining office confidentiality.
- Performs duties requiring independent discretion, judgment, accuracy, orderliness, and timeliness within established guidelines and procedures.
- Learns, understands, and applies VCUHS policies and procedures.
- May have a dual reporting line.
Requirements
- Minimum of two (2) years of previous secretarial/administrative work experience in an office setting.
- Previous experience with Microsoft Office applications and email/calendaring.
- High School Diploma or equivalent.
Preferred Qualifications
- Three (3) years of previous secretarial/administrative work experience in an office setting.
- Previous experience in an academic healthcare setting.
- Post-high school coursework in Business, Accounting, or a closely related field.
Skills

- Clear speaking and legible writing.
- Reading comprehension and logical thinking.
- Ability to handle multiple priorities and adapt to frequent changes in a fast-paced environment.
- Independent discretion and judgment within established guidelines.
Physical Requirements
- Lifting 50–100 lbs.
- Prolonged sitting, walking, and repetitive motion.
Pay
Compensation range: $17.25 – $26.39 per hour. Actual salary offers will be based on relevant work experience, credentials, and qualifications.
Schedule
Generally works day shift, Monday through Friday, 8 am–5 pm, with flexibility required for special projects or organizational needs.
