About the role
The Administrative Assistant provides accounts receivable, accounts payable, and general administrative support. This role also serves as backup for the Scale Operator.
Responsibilities
- Perform basic accounting tasks including accounts receivable, accounts payable, and/or general ledger duties.
- Process A/P, research and investigate vendor set ups, initiate and process vendor PO's, receive and enter invoices into the financial system, and manage purchasing card transactions.
- Answer and screen phone calls.
- Assist with daily scale operations or Office Manager duties as needed.
- Produce weekly shipment lists for all inbound and outbound loads.
- Data entry into multiple operating systems for safety, financial, environmental, and other business components.
- Track, record, pay vendor payments through Concur and JDE, place orders through vendors, and send monthly reporting to suppliers.
- Ensure vendor COI and indemnity forms are valid and participate in safety engagement activities.
- Contribute to the month-end closing process.
- Participate in health and safety programs.
- Perform other job duties as needed.
Requirements
- High school diploma or G.E.D.
- Accounting experience in A/R, A/P, and/or GL with basic understanding of accounting principles.
- Intermediate arithmetic skills (decimals, fractions, ratios).
- Basic computer skills (email, word processing).
- Office equipment operation (fax machine, copy machine).
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word).
- Ability to respond quickly to changing demands and processes.
- Maintain high productivity and accuracy.
- Strong interpersonal and communication skills.
- Excellent organizational and follow-up skills.
Qualifications
- Pass background check and pre-employment drug screening.
- Willingness to work overtime as needed.
- Good attendance record.
