Administrative Assistant
Job Responsibilities
- Covers calendars and schedules appointments and meetings.
- Prioritizes requests for meetings and coordinates necessary arrangements.
- Answers phones, responds to inquiries, and trims calls to appropriate personnel.
- Responsible for travel and conference arrangements.
- Organizes itineraries, makes reservations for travel and accommodations.
- Handles procurement activities related to goods, services, and/or equipment as needed.
- Manages inventory of supplies, equipment, and/or reagents.
- May order supplies/equipment/reagents as authorized or escalate needs appropriately.
- Ensures facilities and equipment are in optimal working condition.
- Coordinates preventative maintenance and repairs as needed.
- Makes minor repairs if qualified and needed.
- Advise on upgrades for performance enhancements.
- Coordinates room reservations and provides on-site support, including audiovisual equipment setup and refreshments.
- Initiates and prepares written correspondence as needed.
- Records and distributes meeting minutes.
- Performs other related duties as assigned.
Education and Experience
- A high school diploma.
- About 2 years of prior administrative support experience.
Knowledge, Skills and Abilities
- Demonstrated proficiency with MS Office Suite and database applications.
- Professionalism, including appearance, presentation, and demeanor.
- Excellent customer service skills in person, via email, and on the telephone.
- Strong communication and interpersonal skills; ability to interact with multiple constituencies and exercise "people skills."
- Organizational skills and attention to detail.
- Ability to multi-task and self-prioritize work.
