- Scheduling appointments and maintaining calendars
- Cooking travel arrangements and booking accommodations
Clerical Duties
- Performing general clerical duties, such as photocopying, scanning, and faxing
Supporting Presentations and Reports
- Aiding with the preparation of presentations, reports, and other documents
Office Supplies and Inventory
- Maintaining office supplies and inventory
General Office Assignments
- Providing support to other departments and team members as needed
- Organizing company lunches to be brought to the office/Site
- Mailing, shipping, and receiving data
- Data entry and record-keeping
Project Management Support
- Helping with creating, submitting, and receiving purchase orders
- Filing and organizing documents
- Document submission to General contractor
- Coordinating Employee site access
Qualifications
- High School Diploma
- At least 2+ years of prior administrative experience
- Excellent written and verbal communication skills
- Strong organizational and time management skills
- Attention to detail and excellent ability to multitask with the ability to prioritize
- Ability to handle confidential and sensitive information with discretion
- Proficiency in Microsoft Office suite and other office software
- Excellent customer service skills
- Ability to work independently and in a team environment
- Strong problem-solving and decision-making skills
- Prior experience in administrative support, preferably in a corporate or office environment
- Experience in managing calendars and scheduling appointments
- Experience in handling phone calls, emails, and other correspondence
- Knowledge of office equipment, including printers, scanners, and copiers
- Familiarity with filing and record-keeping systems
- Must be dependable, able to follow instructions, respond to management direction
- Able to lift parcels up to 50lbs.
