Administrative Assistant
About the role
We are looking for an Administrative Assistant to support daily office operations and help create an organized, welcoming environment in Ohio. This contract opportunity is ideal for someone who enjoys balancing front desk support, coordination tasks, and administrative follow-through in an organized office setting. The person in this role will contribute to smooth internal operations by handling communication, meeting preparation, financial administrative support, and employee onboarding activities.
Responsibilities
- Cooking and assembling supporting documents for meetings as needed.
- Welcoming guests to the office, managing visitor arrivals, and helping facilitate a positive and organized on-site experience.
- Arranging meeting spaces, preparing agendas when needed, and coordinating meal orders for scheduled sessions.
- Maintaining office, breakroom, and kitchen inventory by monitoring supply levels, placing orders, and keeping items stocked.
- Providing administrative accounting assistance by creating invoices, supporting payable and receivable activities, preparing deposits, and issuing checks when required.
- Completing and submitting expense reports for leadership and organizing corporate card transactions with accurate categorization.
- Supporting onboarding for new employees by coordinating administrative steps and assisting with enrollment-related documentation.
- Performing data entry, answering inbound calls, and handling additional clerical assignments as business needs arise.
Requirements
- Experience providing administrative support in an office, front desk, or receptionist capacity.
- Ability to manage inbound calls, greet visitors professionally, and maintain a welcoming office presence.
- Strong organizational skills with the ability to coordinate multiple tasks and prioritize effectively.
- Proficiency in data entry and preparing accurate administrative records and documentation.
- Familiarity with general office procedures, including meeting coordination, mail handling, and supply management.
- Experience assisting with basic accounting-related administrative tasks such as invoices, expense reports, or deposits.
- Strong written and verbal communication skills with close attention to detail.
