Responsibilities

  • Review new business intake requests for completeness and accuracy.
  • Conduct comprehensive conflict checks using the firm's conflict management system and analyze results to identify potential ethical or business conflicts.
  • Research and verify information from internal databases and other available resources to support conflict resolution.
  • Open new client matters, reactivate existing matters, and ensure all records are maintained accurately.
  • Communicate potential conflicts or outstanding issues to attorneys and appropriate firm personnel for review and resolution.
  • Ensure intake requests are processed promptly while maintaining a high level of accuracy and compliance with firm procedures.
  • Respond to inquiries from attorneys and staff regarding conflict and matter intake requests.
  • Aid with special projects, process improvements, and other departmental initiatives designed to enhance efficiency and client service.
  • Support the onboarding and training of new team members as needed.
  • Recommend enhancements to workflows, policies, and technology that improve the overall intake and conflicts process.

Requirements

  • 2+ years of experience in legal conflicts, new business intake, legal research, or a related function within a law firm.
  • Working knowledge of legal ethics, conflict-of-interest principles, compliance requirements, and due diligence processes.
  • Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
  • Strong analytical and problem-solving skills with exceptional attention to detail.
  • Excellent organizational abilities and the capacity to manage multiple priorities simultaneously.
  • Outstanding verbal and written communication skills with the ability to interact professionally across all levels of the organization.
  • Prioritizing sound judgment and maintaining strict confidentiality.
  • Adaptable, self-motivated, and capable of working independently with minimal supervision.
  • Flexibility to work additional hours when business needs require.

Benefits

This Intake Specialist role is paying between $55,000 and $65,000 annually depending on experience.
